Privacy Policy.

MedStaffed ("we", "us") is a recruiting business based in San Pedro Sula, Honduras. We place remote healthcare staff with medical practices in the United States. This policy explains what information we collect, why, who we share it with, how long we keep it, and what you can ask of us. It covers medstaffed.com, apply.medstaffed.com, the forms on them, and the emails and messages we exchange with you.

1. What we collect

If you apply to us as a candidate:

• your name, email, phone number and country;
• your profession, the role and level you are interested in, your experience, your English level, your availability and when you could start, and whether you have your own computer and headset;
• your CV, and the file showing your computer's specifications;
• the link to your recorded voice introduction (you record it on Vocaroo, which hosts it);
• how you heard about us, and who referred you, if you tell us;
• your answers to our knowledge check, and anything you write to us.

While we assess you, we add our own notes to your file: test results, interview notes and our assessment.

If you contact us or ask for a quote for your practice: your name, email, phone number and practice name; the roles you want to fill (level, number of hires, schedule, start date, budget and requirements); and your message. If you accept a quote or file a warranty claim, we keep those details too.

Automatically, when you use our site and forms:

• When you submit a form or accept our terms, we record the date and time, your IP address and your browser. This keeps a record of what you accepted and helps us stop spam and abuse.
• Google Analytics measures how our public pages are used (Section 5).
• Your browser remembers whether you are viewing our site as a practice or as a candidate, and uses your device's time zone to show you the pages meant for you. Your time zone and your choice stay on your device and are not sent to us. Google Analytics is told only the result (practice or candidate); see Section 5.

We do not ask for health information, government ID numbers or bank details. Please do not send them.

2. Why we use it

• To assess candidates and put them forward for roles they fit, with their agreement.
• To answer practices, prepare quotes, present candidates, invoice, and handle warranty claims.
• To contact you by email, phone or WhatsApp about your application or your request.
• To keep the records our business, our agreements and the law require.
• To understand how our website is used, and improve it.

We do not sell your information, and we do not share it for advertising.

3. Who we share it with

• Practices considering a candidate. With the candidate's agreement, a practice receives their CV, their recorded voice introduction, our recruiter's interview scorecard, and their email and phone number so it can contact them. Knowledge-check results and our internal notes are not shared.
• Candidates and practices, about each other, only as far as needed to arrange an interview or a hire: for example, a candidate learns the practice's name, the role and the hours.
• The services that run our systems, only so they can provide that service to us: Supabase (our database and file storage), Hostinger (our website hosting and email), Google (Google Analytics, and Google Calendar if you book an intro call with us), and WhatsApp when we message you there.
• When the law requires it, or to protect our rights, for example to collect an unpaid fee.
• If our business is transferred, for example to a company we form, your information passes to it under this policy.

4. Where it is stored

Our systems are in the United States. We work from Honduras. Your information is therefore stored in the United States and accessed from Honduras.

5. Cookies and analytics

Our public website and application form use Google Analytics to count visits and see which pages and forms are used. It also counts clicks on a link that leads to our quote form or to booking a call with us, which of the role options listed on our home page you choose, and whether the page was shown to you as the practice side or the candidate side of our site. It sets cookies named _ga and _ga_NGJ4LYRZ2F, which last up to two years. We have turned off Google Signals, advertising personalization and data sharing with Google; Google Analytics does not store your IP address; and we keep analytics data for 14 months. When an application, a quote request or a message through our contact form is completed, we count it as an event, without your name or anything you typed.

Pages you reach through a personal link (the knowledge check and quote replies) and our internal systems do not use Google Analytics.

You can block these cookies in your browser settings, or with Google's opt-out add-on. We do not respond to "Do Not Track" signals, and we do not track you on other websites.

6. How long we keep it

• Candidates who are not placed: 24 months after your last contact with us.
• Applications that were incomplete or not taken forward: 12 months.
• Candidates who are placed: for the placement, plus 2 years.
• Practices (contacts, quotes, agreements, invoices and related records): 7 years.
• Website analytics: 14 months.

After that, we delete your information or remove what identifies you.

7. How we protect it

Only our team can open our systems, each person with their own login, and each sees only what their role needs. Our site and systems use encrypted connections, and our database controls who can read what. No system is perfectly secure; if a breach affects your information, we will tell you.

8. What you can ask of us

At any time, you can ask us to:

• tell you what information we hold about you, and give you a copy;
• correct it;
• delete it (we keep only what we must, such as the record of a placement or an invoice, for the periods in Section 6);
• stop contacting you, or, if you applied, stop putting you forward.

Write to info@medstaffed.com, or reply to any message from us. We may ask you to confirm who you are, and we answer within 30 days. Depending on where you live, for example in some US states, you may have further rights; where they apply to us, we honor them.

9. Children

Our services are for adults. We do not knowingly collect information from anyone under 18.

10. Changes to this policy

If we change this policy, we will publish the new version on this page. Its version number and date are at the top.
