How it works
From your request to their first day.
Tell us the work. One role or several. Not sure which fits? A free call works it out with you.
Get your quote. Choose a level and a free-replacement cover of 2 months, 6 months or 12 months, both explained under Fees. It comes back within one business day.
We source and screen. Candidates who do not clear the testing and the recruiter interview never reach you.
You interview our best match and choose. Their CV, voice introduction and interview scorecard reach you before you spend a minute interviewing. Not the right fit? We present the next best. How soon you meet them is shown under Fees.
You pay one placement fee for each person you hire,
and pay them directly from then on. The fee comes from two choices: the level you hire at, then how long you want us
standing behind the hire. Your quote comes back within one business day,
before any work begins.

Getting startedEvery hire learns your EHR, phones and routines in onboarding. Experienced candidates need less hand-holding along the way.
Quick to pick up your systems; your team teaches your workflow
Up to speed faster, and needs less of your team’s time in the first weeks
Best forScribes: we recommend Experienced. An Entry scribe needs your EHR, your workflow and your quality measures taught, and takes longer to have charts ready for sign-off.
Routine, well-defined work, and a team with time to teach
Work where mistakes cost more, or where your team can’t spare the training time

Pay rateYou set the pay, not us, and every dollar of it goes to your hire. These are the rates candidates at each level usually accept. Working with a fixed rate? Put it in your quote request and we’ll only present candidates who accept it.
You set it. Candidates typically expect $8–12/hr
You set it. Candidates typically expect $15–25/hr
Both levels get the same four-check screening and the same free-replacement choice.

Any level can take any cover. If your hire leaves or doesn’t work out inside that period, we replace them free.* A longer cover raises your fee.

*Your cover never runs down while we search. File a claim and the warranty clock pauses, then picks up where it stopped on your replacement’s first day, with at least 10 days of cover. One free replacement per placement, for a hire who leaves or doesn’t work out. Not covered: a role you eliminate or change, a hire who leaves over late pay, a misconduct dismissal we had no chance to respond to, or a claim while your invoice is overdue. Full warranty terms.

Why hire directly
Rent a seat, or hire the person.
An agency adds its markup to every invoice, every month,
for as long as your staff member works. With MedStaffed you pay one placement fee, once, and every
month after that costs you their pay and nothing else.

Screening standards
What we check before anyone reaches your calendar.
Four checks stand between an applicant and
your interview. The candidate you meet is the one who cleared all four best.
01
Medical literacy & trainability
Most of our candidates are physicians or medical graduates. A knowledge check and the interview show
their aptitude, their attention to detail and how quickly they pick up US practice software.
02
CEFR English level
Each candidate states a level on the CEFR scale, from B1 to C2. Our recruiter hears it in a live
conversation, and you hear it in the voice introduction.
03
Recorded voice introduction
Every profile comes with one, so you can judge phone presence and pronunciation before you book an
interview.
04
Recruiter scorecard
After a video interview, our recruiter rates English fluency, experience, communication and
reliability, and checks the home setup and availability. Only the strongest candidate is presented to
you, and their scorecard comes with the CV.
Roles you can hire
Pick the work. We find the person.
Most of our candidates are physicians or medical
graduates, so they arrive fluent in the language of medicine: charts, medications, labs and the words your
providers use. Your EHR, your phones and your routines they master in onboarding, and everything they learn
stays with your practice.
Virtual medical assistant
A remote member of your front and back office. Takes on patient requests and messages, new-patient intake, insurance, prior authorizations, referrals and quality review, so your clinical team can stay with patients.
What they handle
Patient requests & portal messages
New-patient intake & registration
Insurance & eligibility verification, including before a referral
Prior authorizations
Referrals: checking eligibility and finding the clinic the patient prefers nearby
Quality-measure review & chart quality control
Software onboarding: Learns your EHR, phone system and clinic SOPs during onboarding.
Documents the encounter as it happens, so your provider can look at the patient instead of the screen. Drafts the note in your EHR to each provider’s preferences, prepares orders, imaging and referrals for sign-off, and leaves the chart as ready as it can be.
What they handle
Real-time charting: the HPI, the physical exam, the SOAP note
Orders, imaging and referrals prepared for sign-off
Chart prep ahead of the visit, depending on the provider
Reviewing clinical notes from specialists
Making sure quality measures are addressed in the encounter
Check-out reminders to book the next appointment, and a word to the provider’s medical assistant when a patient needs attention
Software onboarding: Learns each provider’s note style and your charting templates.
Your front desk, by phone. Answers and routes calls, books and confirms appointments, and takes messages someone can act on, so nobody reaches voicemail during opening hours.
What they handle
Inbound calls & routing
Appointment booking & confirmation
Messages the team can act on
Coverage through opening hours
Software onboarding: Learns your phone system, scheduling rules and call scripts.
Works the clinic’s own protocols and standing orders to help manage patients’ care. Follows up with patients between visits, reviews vital signs against your protocols, educates patients on the plan your providers set, escalates a change in a patient’s status to the clinic’s clinicians, and keeps the documentation in your EHR accurate. We fill this role from clinically trained candidates: physicians, medical graduates and nurses.
What they handle
Patient follow-ups, recalls & care gaps
Reviewing vital signs against your protocols, so a change reaches your clinicians
Working the standing orders your providers set
Escalating a change in a patient’s status to your clinicians
Educating patients on the care plan your providers set
Prompt follow-through on patient care tasks
Accurate documentation in your EHR
Software onboarding: Learns your care pathways, standing orders and contact cadence.
Spanish–English interpreting during visits and phone calls, so language is never the reason a patient leaves with a partial understanding of their own care.
What they handle
Visit interpreting, by video or phone
Phone outreach to Spanish-speaking patients
Explaining patient instructions in Spanish
A Spanish-speaking patient line
Software onboarding: Learns your visit flow and the vocabulary of your specialty.
We never publish who our clients are: no practice
names, no logos, no locations, no case details — not even initials. A clinic that hires
through us does not become marketing material for us.
Our agreement keeps what you tell us
confidential, and it binds us both.
Tell us what the work is. We will come back with who can do it.
